"Best Western Zoom Hotel" service

This Privacy Policy regarding the processing of personal data of users of the "Best Western Zoom Hotel" services (hereinafter referred to as the "Policy") applies to personal data and other information that may be obtained from users during the use of the "Best Western Zoom Hotel" website, booking a hotel room, and the provision of hotel and other services by the hotel.

This Policy is developed in accordance with the Constitution of the Russian Federation, Federal Law No. 152-FZ of July 27, 2006 "On Personal Data", Federal Law No. 149-FZ of July 27, 2006 "On Information, Information Technologies, and Information Protection", and other regulatory legal acts of the Russian Federation in the field of protection of personal data. It is aimed at ensuring the protection of human and civil rights and freedoms when processing personal data, including protection against unauthorized access.

1. Terms Used

1. Hotel — "Best Western Zoom Hotel" apart-hotel, located at: 2 Matrosa Zheleznyaka St., Building 1, Lanskoe Municipal District, St. Petersburg, Russia; legal entity: LLC "Apart-Service" (OGRN 1197847063743, INN 7813632658, legal address: 197342, St. Petersburg, Lanskoe Municipal District, 2 Matrosa Zheleznyaka St., Building 1, Room 877N, Office 201).

2. Website — the official website of the Hotel on the Internet, domain name(s): www.bwzh.ru Guest(s) — visitors of the Website and clients of the Hotel who made a booking personally or through intermediaries to rent a room or obtain hotel or other services provided by the Hotel (service users).

3. Reception — the front desk of the Hotel where guests are directly registered for check-in, as well as for other services provided by the Hotel. Booking — the reservation of specific services by the Guest via phone, email, direct contact, messengers, or the Hotel’s social media pages, during which personal data is provided. Hotel contact details for booking services, including but not limited to phone numbers, fax, address, email, messengers, and social media accounts, are listed on the Website. Personal data — any information relating directly or indirectly to an identified or identifiable natural person (Guest).

4. Personal Data Operator — the Hotel (LLC "Apart-Service"). Personal data processing — any action (operation) or set of actions performed with or without automation, including collection, recording, systematization, accumulation, storage, clarification (updating, modification), extraction, use, transfer (distribution, provision, access), anonymization, blocking, deletion, and destruction of personal data. Automated processing — using computing tools. Data provision — disclosure to a specific person or group. Data blocking — temporary suspension (except when necessary for clarification). Data destruction — making data unrecoverable in the system and/or destroying physical data carriers. Anonymization — making it impossible to identify the subject without additional information.

Confidentiality — the obligation of the Hotel or any other party with access to personal data not to disclose it without the consent of the data subject or another legal basis.

2. Purposes of Personal Data Processing

2.1. When booking via the Website or by other means, the Guest provides the following:

• Last name, First name, Patronymic; • Email address;

• Contact phone number;

• Other information required for booking and/or service provision (passport data, date of birth, address, card details, etc.);

• Any additional information the Guest deems necessary to personalize services and improve quality. The Hotel does not disclose or use card data for purposes not agreed with the Guest. Card data confidentiality is ensured by the payment system provider.

2.2. The Hotel processes personal data to conclude rental and service agreements with Guests and uses it solely for the following:

• Hotel room booking and service provision: processing requests, confirming bookings, making changes, etc.;

• Providing other services: household services, event organization, photography, conference room rental, etc.;

• Marketing: sending news, promotions, and special offers with Guest consent (see section 4.5 of the Policy);

• Service improvement: sending feedback forms after check-out is optional;

• Improving Hotel and Website service quality: using booking history and preferences to personalize future offers.

3. Principles and Conditions for Personal Data Processing

3.1. Processing is based on:

• No data is shared or disclosed without consent;

• Processing complies with RF law and this Policy;

• Only data necessary for the stated purposes is processed;

• Data is destroyed or anonymized when no longer needed unless otherwise required by law.

3.2. Conditions:

• Processing is based on Guest consent (via site or check-in form);

• Consent is mandatory for booking. Booking cannot be completed without it;

• Processing is necessary for lawful purposes;

• Processing is necessary to fulfill Hotel obligations to Guests.

3.3. The Hotel guarantees confidentiality and may share data only as required by law (e.g., law enforcement).

3.4. Use of the Website or Hotel services implies acceptance of this Policy. If the user disagrees, they must stop using the site or booking services.

3.5. The Hotel does not verify data accuracy and is not responsible for consequences arising from incorrect data provided by the Guest. Similarly, the Hotel is not responsible if the data was mistakenly provided to a third party not authorized by the Hotel.

4. Data Subject Rights

4.1. The Guest has the right to request:

• Confirmation of data processing;

• Legal grounds and purposes of processing;

• Methods used for processing;

• Name and address of the Operator (LLC "Apart-Service");

• Information on processed data and its source;

• Data processing and storage period;

• How to exercise rights under Federal Law No. 152-FZ of July 27, 2006;

• Any other information required by law.

4.2. Such data is provided only to the data subject upon identity verification.

4.3. The data subject may request correction, blocking, or deletion of personal data via email or mail. The request must include:

• Full name;

• ID document number, issue date, and issuing authority;

• Evidence of service use or interaction with the Hotel. The request must be signed (or an electronic document if sent digitally).

4.4. The Hotel may retain data as needed to protect its interests in legal disputes arising from contracts or stays, but not beyond the statute of limitations set by the Russian Civil Code.

4.5. The Website and registration forms allow the Guest to opt in to receive news and promotional emails. Consent is not automatic and must be actively given (by ticking a checkbox). If the Guest does not opt in, their email will not be added to the mailing list or will be removed upon request. The Hotel acts immediately on any written request to unsubscribe, whether full or partial (e.g., only marketing).

5. Cookies

5.1. Guests are informed that the Hotel may collect certain technical data (browser type, IP, OS, location, pages viewed, etc.) through cookies when visiting the Website. This data is not linked to other personal data and does not identify the user.

6. Data Protection Measures and Liability

6.2. If the Hotel violates its obligations regarding data confidentiality, it is liable for any damages in accordance with Russian law. The Hotel is not liable if the data was made public by the subject or was incorrect.

6.3. Anyone who believes their rights have been violated due to unlawful data use may contact the responsible Hotel employee following the procedure described in section 4.3.

7. Final Provisions

7.1. The Hotel may unilaterally amend this Policy. The current version is published on the Website.

7.2. This Policy applies only to the Hotel's processing of Guest data and the Hotel's Website. The Hotel is not responsible for third-party sites linked from the Website. Employee data processing is governed by internal Hotel policies.

7.3. The Policy and related legal relations are governed by the current laws of the Russian Federation.
